Submitting Personal Data Changes

Employee data changes from time to time. People move to a new home, get married and change their name, or switch banks. Whatever the reason behind the change, make it easy for your colleagues to report it.

CHEQ handles data change submissions brilliantly. Ask the colleague reporting the change to provide the old and the new data, and to submit a photo of the document verifying the change. For example, if their ID card has expired and they received a new one, they should submit the old ID number, then the number of the newly issued document along with its new expiry date. Finally, they take a photo of the new ID card and attach it to their data change request. CHEQ forwards the submission to your administrative colleagues in an organized way, making the process much faster and reducing the margin for error.

Why is it good for the company?

  • Less extra work caused by incorrect employee data. (E.g. reissuing an employment certificate because of an old address or an expired ID number.)
  • It offers a paperless and fast solution.
  • Administrative staff can work more efficiently, as no one interrupts them in person or by phone to report a data change. Change requests are registered automatically, and the colleagues handling administration can schedule when to process them.
  • For foreign employees, no interpreter is needed to get their data updated.
  • It saves money, since wages can never be transferred to a wrong bank account, forcing you to initiate the transfer again.

Why is it good for employees?

  • They don't have to queue during their free time (breaks) for administration, or wait after a night shift until the office-hours administrators start work.
  • They can report a data change anytime, from anywhere. There's no need to meet the administrators in person.
  • They submit their data correctly on the first try (CHEQ guides them), so there's no risk of having to supply missing information later.
  • Foreign colleagues can report their data changes on their own, without an interpreter.
